this article explains how to manage user access, roles, teams, departments, and supervision relationships in your organization a ccess & permissions overview the access & permissions section lets you control who can access what inside your organization you can manage this through five main areas people roles teams departments supervision each layer works together to define visibility, responsibilities, and oversight m anaging people the people tab shows everyone who has access to your organization here you can view all active users and pending invitations invite new users by email assign one or more roles to each user edit or remove existing users invited users appear as pending until they accept the invitation m anaging roles roles define what actions a user can perform in the platform s ystem roles some roles are system defined and cannot be deleted, such as organization admin provider billing analyst front desk patient these roles come with predefined permission sets c reating a custom role you can create custom roles to better match your team structure to create a role 1 go to access โ roles 2 click add role 3 enter a role name and optional description 4 select the permissions you want to grant 5 click create role permissions are grouped by feature areas such as patients, appointments, encounters, billing, documents, calendar, services, and organization settings m anaging teams teams help group users into long lived organizational units , such as billing or front desk c reating a team 1 go to access โ teams 2 click add team 3 enter a team name and description 4 save the team team members inherit the roles assigned to that team, making it easier to manage access at scale m anaging departments departments define patient visibility rules between staff members p atient access modes you can control how patients are visible across the organization open all staff can see all patients, regardless of department department staff can only see patients assigned to the same department strict patient visibility is tightly restricted and requires explicit assignment c reating a department 1 go to access โ departments 2 click add department 3 enter a department name 4 optionally assign a parent department 5 save the department departments are especially useful for multi specialty or multi location organizations m anaging supervision relationships supervision defines oversight relationships between providers a supervisor can be assigned one or more supervisees with specific supervision types a dding a supervision relationship 1 go to access โ supervision 2 click add 3 select a supervisor 4 select one or more supervisees 5 choose at least one supervision type 6 optionally add notes 7 save s upervision types each supervision type grants different capabilities clinical supervisor can countersign encounters and access supervisee clinical workflows billing supervisor can bill on behalf of the supervisee and access billing related data calendar supervisor can view and manage the superviseeโs calendar and appointments department manager supervisor has administrative oversight for scheduling and operational support a single supervision relationship can include multiple supervision types h ow everything works together roles control what a user can do teams simplify role assignment across groups departments control patient visibility supervision defines provider oversight and delegatioa using these tools together allows you to model real world clinic structures accurately and securely
