How copays work and how to charge them

use copays to collect the patient’s portion of a visit while the remaining balance is billed to insurance w hen to charge a copay charge a copay when the patient has insurance the visit requires a patient contribution the copay is collected before or after the session copays can be charged before insurance claims are submitted w here copays are charged copays are recorded from the invoice to get there go to billing click invoices open the patient’s invoice go to the payments tab this is where all patient payments, including copays, are recorded h ow to charge a copay open the invoice go to the payments tab click record payment in the payment panel amount enter the copay amount payment date select the date the copay was collected payment method choose how the patient paid (cash, check, or credit card) payer type select patient notes (optional) add a note such as “copay collected at visit ” click record payment the copay is applied immediately to the invoice w hat happens after charging a copay after the copay is recorded, eggmed reduces the outstanding balance updates total paid keeps the remaining balance available for insurance shows the payment in payment history logs the action in activity the invoice remains open until insurance pays the remaining balance c harging a copay before insurance payment this is the standard workflow you can collect the copay submit the insurance claim later apply the insurance payment once received eggmed keeps all payments aligned on the same invoice i mportant things to know charging a copay is recorded as a patient payment does not submit an insurance claim does not close the invoice if a balance remains does not affect insurance billing c ommon mistakes to avoid selecting insurance as the payer type copays are always paid by the patient recording the full invoice amount as a copay only record what the patient actually paid waiting for insurance before recording the copay copays can be recorded immediately n eed to correct a copay? if a copay was entered incorrectly, you can edit or remove it from the payments tab eggmed will automatically update the invoice balance and status
